The 11 listing stages

The 11 stages every listing moves through, from Created to Sold, what to do at each one, the emails each move sends, and how expiry works.

Every listing goes through the same 11 stages, in order. Move a listing forward with Next Stage → at the top of the listing page, or back one with ← Previous Stage.

What changed in October 2026

There are now 11 stages instead of 12. "3D Complete" is gone, 3D tours arrive with the photography, and "MM Complete" is now Photos & Reports In. Nothing is locked any more until a listing is Sold or Expired, see Editing at any stage.

#Moving forward: the "Moving to …" window

Every forward move shows you the emails it will send before anything goes.

  1. 1

    Click Next Stage →.

  2. 2

The Moving to [stage] window opens.

It says how many emails the move sends, one row per email, with who it is to and the subject. If a stage sends none: "This stage sends no emails, so moving there emails nobody."

  3. 3

    Check each email.

Show content to read it, Edit to change the subject or text for this one email, or untick it to not send it. Undo changes puts an edited email back.

  4. 4

    Fix anything greyed out.

A row can be greyed out because a detail is missing (Fill in the form →), your email domain is not set up or verified, or there is no email address for that person (Add an address →).

  5. 5

Click Send N and move to [stage], or Move to [stage] without sending.

Cancel stops without moving. A message confirms "Stage updated to: [stage]".

The emails go first, then the stage moves

The stage still moves even if an email fails, and the window shows what went out and what did not. An email already sent shows Already sent and is unticked, tick it to send it again. Missing required fields never stop the move, but they will be missing on the documents, so fill them in first.

#Moves with an extra check

MoveWhat it asks
Agent Reviewed → Listing SetupThe Before this listing moves on window: a completion summary, and Document Signatories, who will sign. Check anyone marked Fallback, their document goes to your email. The documents are generated as soon as you move, see Documents and document signing
Listing Setup → MM ScheduledTick that the Exclusive Right to Sell Listing Agreement is signed and the seller's disclosure is complete. Book the inspection, enter its dates yourself, or tick Skip it for now
Into Photos & Reports InShare the photographs and reports with the seller first, then tick I have shared the photographs and the reports with the seller

#Moving back

← Previous Stage moves the listing back straight away, with no window. Moving back can send that earlier stage's automatic emails, but an email already sent is never sent again. Moving back into Listing Setup makes a new set of documents, and moving a Sold or Expired listing back one stage unlocks it for editing.

#Publishing to the MLS

At Final Agent Review the Overview tab shows Publish the listing to Doorify MLS. Click Review & publish, add anything under Needed before you can publish, then click Publish to Doorify. When the MLS shows it as live, click Next Stage → to move to Listing Live, this move is not automatic.

#Imported listings can start partway through

A listing that arrives through MLS import starts at whichever stage matches its MLS status, not always at Created, and imported listings send no stage emails. See The MLS import.

#Expiry

When the Listing Expiration Date has passed, the listing moves itself to Expired, its status becomes On hold, and the Expired stage's emails are sent, the same as moving it by hand. This is checked whenever the Listings page or the listing is opened. Listings that are Under Contract, Sold or Pending are never expired automatically.

Keep the Listing Expiration Date correct

If a listing expired by mistake, move it back with Previous Stage and correct the date, or relist it. Relisting starts a new listing at Created, see How a listing gets onto the platform.

#Stages drive your automation

A stage change is an event, so it can trigger email. The Listing Stage Change trigger fires on it, see The 13 preset triggers, or build a custom trigger with specific from and to stages in the trigger builder. The listing's own stage emails are covered in The Communication tab.
