Two screens, similar names, different jobs. Getting this straight makes everything else easier.
#Accounts
The people in your database, name, email, phone, address, tags and relationships. You create them by hand, by bulk upload, or automatically from the MLS import.

| Column | Means |
|---|---|
| ID | The record number |
| Account Name | Their name. A Cannot be contacted tag appears next to anyone with neither an email nor a phone |
| Email / Phone | How you reach them |
| Linked Opportunities | How many deals they are attached to |
| Service Provider | Set if they are a lender, inspector, attorney or similar rather than a client |
| Subscription | Whether they can receive your marketing |
Lenders, inspectors, appraisers, attorneys, photographers and contractors are Accounts with a service-provider type. That is how they can be attached to a deal.
#Contacts
What people have been doing on your public site, favourites, saved searches, enquiries, activity. You do not create these; they appear when someone acts.
This is the screen for "who is warm". Someone who saved three searches this week is worth a call in a way that a name in a list is not.

#Subscription status
The subscription column reflects whether marketing can reach them. Everyone counts as Subscribed unless they actively opted out, whether they signed up themselves, were added by hand, or came in through bulk upload. Someone who unsubscribed shows as unsubscribed and stays that way, including for one-off emails, until they re-subscribe themselves. See Bounces and unsubscribes.
This is the same status that decides whether an email is actually sent, so what you see here is what happens. Use the subscription filter at the top of Accounts to list only the people who opted out; the Subscribed, Unsubscribed and Bounced counts match the list.
#Contacts you cannot reach
A contact with no email and no phone, usually from an import, is tagged Cannot be contacted in the list, and their account page shows a warning banner. Add either an email or a phone and save, and the banner goes immediately.
