The Communication tab and listing emails

The Communication tab: every email a listing sends, stage by stage, previewing and sending by hand, writing your own, switching emails off, and the history.

Before this you need

All listing emails are sent by the platform itself, from your own email address, with your signature. Every one is planned and recorded on the listing's Communication tab.

Nothing sends until your domain is verified

Until your email domain is set up and verified, every Send button is greyed out and anything tried is recorded as Skipped. The person must also have an email address on the listing.

#How the tab is laid out

  • One row per stage, marked Done, This listing is here or Ahead. The tab opens on the current stage.
  • Inside a stage, two lists: Sent automatically, which send themselves when the listing reaches the stage, and You send these, which wait for you to send each one when the thing it is about actually happens.
  • A toolbar with + New email, Add a saved one, and History.

#Previewing and sending by hand

  1. 1

Click Preview to see exactly what would go out.

Missing details show as + add [field] buttons. The email will not send until they are filled in.

  2. 2

    Click Send.

  3. 3

Check To, add a CC if you like, and optionally click Edit the email.

Changes apply to this one send only. Your signature is added below.

  4. 4

    Click Send it.

The row shows "✓ Sent to [email] just now · recorded in this listing's history".

Contract figures are not on the form yet

Many Under Contract and Sold emails quote figures such as purchase price, net proceeds or appraisal value. An email that needs a detail the listing does not have is skipped, so use Edit the email and type the figures in.

#Writing your own email

  1. 1

Open the stage and click + New email.

  2. 2

Give it a name, subject and message.

  3. 3

    Choose who receives it.

Your seller, You, Your broker in charge, The buyer's agent, or Someone else.

  4. 4

Insert details from the side panel.

For example the seller's name, the address, the list price, the seller's dashboard link, or an upload link, private for 48 hours, to ask for a file.

  5. 5

Save. It waits in your list until you send it.

To reuse one you wrote before, click Add a saved one, then Add here, and choose Send it for me or I'll send it myself.

#Switching an email off or removing it

ActionEffect
Switch offThe email is not sent, on all your listings, not just this one. Switch it back on at any time
Remove from my planA standard email comes out of your plan for every listing. There is no button to put it back, so prefer Switch off
Delete this messageDeletes an email you wrote yourself
Standard emails are the same for every agent

You cannot change their wording or when they send, only switch them off, remove or reorder them. To say something different, write your own with + New email. Emails already sent are never changed.

#When automatic emails go out

WhenWhat is sent
A listing is created, by the seller, by you or by relistingThe Created emails, straight away
You click Next Stage →That stage's automatic emails, shown first in the Moving to window, where you can untick or edit them
You click ← Previous StageThat stage's automatic emails that have never been sent for this listing

Emails you send by hand are never sent by a stage change. The standard seller emails go to the one seller only; the co-seller gets signing emails for documents they sign, and anything you send them by hand.

#History

Click History in a stage and choose Timeline or By message. Each attempt shows who it went to, from which address, when, and the result; Read what was sent shows the exact email. Visit, inspection, report and photo emails are filed under the stage the listing was in when they went.
