Documents and document signing

How listing documents are prepared, sent for signing with EasyDigz Sign, uploading your own documents, and what happens when someone declines.

Before this you need

The Documents tab lists every document for a listing. Before Listing Setup it shows "No Documents Yet." At the top are two buttons: Upload Document and Refresh.

Two different things are called status

The Status column is the document’s status, pending, sent, partially_completed, completed or declined. Inside Share and Sign, each person has their own status, pending, awaiting, opened or completed.

#How documents get prepared

When a listing reaches Listing Setup, EasyDigz prepares the listing documents automatically from the Details form, in a few seconds. Open the Documents tab, if they are not there yet, wait a moment and click Refresh, it also refreshes itself every 30 seconds.

#Document sets

The forms prepared at Listing Setup are grouped into a block called "Listing document set 1." If you move the listing back and forward again, a new block, "Listing document set 2," is prepared.

Always use the highest-numbered set

It is the newest and replaces the older ones. Sending documents from an older set is a common mistake worth avoiding.

#The confirmation window at Listing Setup

Moving from Agent Reviewed to Listing Setup opens a Warning window explaining that you will no longer be able to edit these details, since they are going out for signing. It also shows:

  • A completion summary, how many required fields are still missing, grouped by section, click one to jump to it.
  • The fields that stay editable afterwards.
  • Document Signatories, who will sign: System Generated Fields, Listing Agent, Seller 1, Seller 2, Buyer 1, Buyer 2 and Escrow Agent.
Check for Fallback before you click Proceed

A signatory with no email address is marked Fallback, and your email is used for them instead of the real signer. A document for a Fallback person goes to you, not to them. Add their email first if you have it.

#Sending a document for signing (Share and Sign)

    In the Documents tab, click Share and Sign next to the document.

    A window opens showing each person who must sign and their status.

    Click "Invite [person] to sign" next to each one.

    The button greys out and a Sent label appears.

    They receive an email with a link and sign online with EasyDigz Sign.

    Need to remind someone? Click Send Invite Again.

No Signatories Assigned

If the window says this, the document has no signers yet, check the people and emails in the Contacts section of the listing.

#Uploading your own document

    Click Upload Document.

  2. 2

    Choose the file.

    PDF, DOC, DOCX, TXT, JPG, JPEG or PNG, up to 10 MB. The Document Name fills in from the file name, change it if you like.

    Click Upload Document.

    It appears in the list with status pending.

    To have it signed, click Add Signature, place the signature fields, add the people who must sign, and click Send.

Add Signature is only for uploads

Prepared listing forms already have their signature fields and cannot be changed.

#When everyone has signed

The document’s status changes to completed and Updated At changes. Click View Document to open it. For a document you uploaded, EasyDigz keeps the signed copy and View Document always opens that signed version. For a prepared listing form, if View Document opens an unsigned-looking version, contact [email protected] and we will send you the signed copy.

#If a document is declined

A signer can decline instead of signing, its status shows declined.

    Click Share and Sign on the document to see who declined.

    Call that person, it is often a wrong detail on the form.

  3. 3

    If a locked detail needs to change, move the listing back to Agent Reviewed, fix it, then move forward again.

    A new document set is prepared.

    Send the newest set for signing again with Share and Sign.
